Acceptance of Terms

Agreement

By accessing and using the EdVanta Academy website, submitting an admissions application, enrolling a student, or using any of our digital services (collectively, the "Services"), you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree with any part of these terms, you should not use our Services.

Authority to Agree

If you are a parent or guardian acting on behalf of a minor, you confirm that you have the legal authority to accept these terms on their behalf and that you are responsible for ensuring compliance with these terms.

Updates to Terms

EdVanta Academy reserves the right to modify these Terms of Service at any time. Material changes will be communicated through our website or via direct notice. Continued use of the Services after changes are published constitutes acceptance of the revised terms.

Educational Services

Scope of Services

EdVanta Academy provides educational services spanning Early Childhood Development (ECD) through Advanced Level. Our curriculum is registered with ZIMSEC and includes Cambridge International programmes. The school reserves the right to modify academic programmes, timetables, and extracurricular offerings as necessary to maintain educational excellence.

Admissions

Admission to EdVanta Academy is subject to availability, meeting entry requirements, and completion of the application process. The school reserves the right to accept or decline applications at its sole discretion. Submission of an application does not guarantee admission.

Academic Standards

Students are expected to maintain the academic and behavioural standards set forth in the Student Handbook. The school reserves the right to take disciplinary action, including suspension or expulsion, in accordance with its published disciplinary policies for students who fail to meet these standards.

School Calendar

The academic calendar, including term dates, examination periods, and school events, is published on the school website and communicated to parents. EdVanta Academy reserves the right to adjust the calendar as circumstances require, including but not limited to public health emergencies or regulatory directives.

Fees & Payment Terms

Fee Structure

School fees are published annually and communicated to parents and guardians before each academic term. The fee structure covers tuition, levies, and any additional charges applicable to the student's programme and campus. Fee structures are available on the Resources page of the school website.

Payment Obligations

Fees are due at the beginning of each term unless alternative payment arrangements have been agreed in writing with the school's finance office. Parents and guardians are jointly and severally liable for the payment of all fees and charges incurred.

Accepted Payment Methods

EdVanta Academy accepts payment via cash, bank transfer, mobile money, and Paynow. All payments must reference the student's account number. Proof of payment must be submitted where bank transfers or mobile money payments are used.

Late Payments & Consequences

Overdue accounts may result in restricted access to academic services, withholding of academic records or reports, and exclusion from extracurricular activities until the account is settled. The school may engage collection agencies for significantly overdue accounts.

Refunds

Fees paid are generally non-refundable. In exceptional circumstances (such as withdrawal before the start of term), partial refunds may be considered at the school's discretion. Application fees and registration fees are non-refundable under all circumstances.

Website & Digital Services

Permitted Use

The EdVanta Academy website and digital services are provided for lawful purposes related to the school's educational mission. You may access the website to view information, submit applications, make payments, and interact with school services as intended.

Prohibited Conduct

You may not: attempt to gain unauthorised access to any part of the Services or related systems; use the Services to transmit harmful, threatening, abusive, or unlawful content; interfere with or disrupt the operation of the website; collect or harvest personal data of other users; use automated tools to scrape or extract data from the website.

If you are provided with login credentials for parent portals, student portals, or other digital services, you are responsible for maintaining the confidentiality of your credentials. You must notify the school immediately of any unauthorised use of your account.

Content Accuracy

While we strive to ensure all information on our website is accurate and up to date, EdVanta Academy does not warrant the completeness or accuracy of all content. Official communications from the school administration take precedence over website content in the event of any discrepancy.

You are granted a limited, non-exclusive, non-transferable licence to access and view the content on our website for personal, non-commercial purposes related to your engagement with the school. You may not reproduce, distribute, modify, or create derivative works from our content without prior written permission.

Student Work

Intellectual property created by students during the course of their education remains the property of the student and their family. However, the school reserves the right to use anonymised examples of student work for educational, promotional, or assessment purposes unless parents opt out in writing.

Limitation of Liability

Service Disclaimer

The EdVanta Academy website and digital services are provided on an "as is" and "as available" basis. While we take reasonable measures to ensure availability and accuracy, we do not guarantee uninterrupted or error-free operation of our digital services.

Liability Cap

To the maximum extent permitted by law, EdVanta Academy shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Services, including but not limited to loss of data, loss of revenue, or business interruption.

Third-Party Services

Our website may contain links to third-party websites or services, including payment processors and examination bodies. EdVanta Academy is not responsible for the content, privacy practices, or availability of these external services.

Force Majeure

EdVanta Academy shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including natural disasters, government actions, pandemics, civil unrest, or infrastructure failures.

Code of Conduct

Student Conduct

All students are expected to adhere to the EdVanta Academy Code of Conduct as detailed in the Student Handbook. This includes expectations around academic integrity, respect for others, proper uniform, and responsible use of school facilities and technology.

Parent & Guardian Conduct

Parents and guardians are expected to engage with the school community respectfully and constructively. Abusive, threatening, or defamatory behaviour directed at staff, students, or other parents — whether in person, via digital channels, or on social media — may result in restricted access to school premises and services.

Digital Communications

When using school communication channels (including WhatsApp groups, email, and the parent portal), all parties must maintain professional and respectful communication. The school reserves the right to moderate or restrict access to digital communication channels.

Governing Law & Disputes

Applicable Law

These Terms of Service shall be governed by and construed in accordance with the laws of Zimbabwe. Any disputes arising out of or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Zimbabwe.

Dispute Resolution

In the event of a dispute, both parties agree to first attempt resolution through informal negotiation and, if necessary, mediation before pursuing formal legal proceedings. The school's administration office serves as the first point of contact for any concerns or disputes.

Severability

If any provision of these Terms of Service is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable.

Changes to These Terms

Notification

EdVanta Academy will notify users of material changes to these Terms of Service through a notice on the website and, where appropriate, via direct communication to registered parents and guardians. The date of the most recent revision is indicated at the top of this page.

Continued Use

Your continued use of EdVanta Academy's Services following any changes to these terms constitutes your acceptance of the revised terms. If you do not agree to the revised terms, you should discontinue use of the Services and contact the school to discuss any concerns.
